What we collect
When you ask for a quote
Our quote form asks for the service you need, details of the site (type, size, how often or how urgently), the site postcode, your name, phone number and email address, and optionally your company name and any notes. For extreme cleaning you can also upload photos of the area. If you are a new customer you can tick a box to claim our first-customer discount.
The form saves your answers as you go, so you can come back to it. If you leave before sending it, what you have entered is kept as an unfinished request for up to 30 days and then deleted automatically. If you ask us to email you a link to finish later, we use your email address only to send that link.
When you send us a message
Our contact form asks for your name, email address, phone number and your message.
When you call, email or message us
We keep a record of calls, emails and WhatsApp messages about a job, including photos you send us, so that the whole team can see the history of your request.
When we work for you
We keep details of the work: the site address, access arrangements, before and after photos, reports, quotes, invoices and payments.
When you browse the website
Our website host keeps standard server logs (such as IP address, browser type and the pages requested) to keep the site secure and working. If you accept analytics and advertising cookies, Google Analytics also collects information about how you use the site, and Google Ads tells us whether a visit from one of our ads led to an enquiry. See our cookies notice.
Please do not include people in photos you upload, and do not send us more personal or medical information than we need to price and carry out the job. Some of our specialist work (for example trauma, biohazard or hoarding cleans) may reveal sensitive information about the people involved. We treat anything like this in strict confidence, share it only with the staff working on the job and keep it only as long as we need it.
How we use it, and our lawful basis
- To reply to your request, prepare a quote and arrange a site visit: because you have asked us to (steps before entering into a contract).
- To carry out the work, report on it and invoice for it: to perform our contract with you or your organisation.
- To keep records, handle complaints and protect our legal position: our legitimate interests in running the business properly.
- To keep accounting and tax records: to meet our legal obligations.
- To understand how the website is used: only with your consent, given through the cookie banner.
- To keep the website secure and stop spam: our legitimate interests.
We do not sell your information, and we do not use it for marketing unless you have agreed to that separately. We do not make decisions about you by automated means alone. Our system marks quote requests as emergency, soon or planned so that urgent jobs are seen first, but a person always reviews every request.
Who we share it with
Only the people who need it to help us run the business, under contract and with appropriate safeguards:
- our website host and email provider, which store and deliver the website, the form and our emails;
- Google, for website analytics and to measure our Google ads, only if you accept those cookies;
- postcodes.io, a free postcode lookup service: on our areas page, the postcode you type into the distance checker is sent to it to find the location. Only the postcode is sent;
- WhatsApp (Meta), if you choose to message us on WhatsApp;
- our accountants, insurers and professional advisers, when needed;
- waste carriers and disposal sites, where the law requires waste transfer records;
- the police, courts or regulators, if the law requires us to.
Some of these providers (for example Google and Meta) may process information outside the UK. Where they do, the transfer is covered by UK adequacy regulations or by the UK International Data Transfer Agreement or Addendum.
How long we keep it
- Unfinished quote requests: deleted automatically after 30 days.
- Quote requests and messages that do not lead to work: kept for up to 2 years, then deleted.
- Customer records, job reports, photos and invoices: kept for 6 years after our last job for you, for tax, insurance and legal reasons.
- Server logs: kept for a short period by our host for security, usually no more than 90 days.
How we protect it
The website uses an encrypted (HTTPS) connection. Photos you upload are stored in a private folder that cannot be reached from the web, and quote requests can be seen only by our staff, who sign in to a protected admin area. Forms are protected against spam and repeated attempts.
Your rights
You have the right to:
- ask for a copy of the personal information we hold about you;
